Tractor Supply EDI Requirements
Tractor Supply runs EDI across several fulfillment models — DC (through one of its ~10 distribution centers), Direct-to-Store (DTS), Drop Ship Vendor (DSV), and VPXD cross-dock. EDI on ANSI X12 (reported as the 4010/VICS conventions) is required to trade with TSC, and the 856/ASN plus its SSCC labeling is the most compliance-sensitive link. Which documents and routing rules apply depends on the fulfillment model your buyer sets up.
Required EDI documents
| Document | Name | Notes |
|---|---|---|
| EDI 850 | Purchase Order | DC, store, and drop-ship orders |
| EDI 855 | PO Acknowledgment | reported: acknowledge within ~48 hours |
| EDI 856 | Advance Ship Notice (ASN) | most compliance-sensitive; must match the 850 line-for-line |
| EDI 810 | Invoice | must reconcile to the PO and ASN |
| EDI 860 | PO Change | conditional |
| EDI 846 | Inventory Advice | conditional / reported daily (Mon–Fri) for drop-ship |
| EDI 852 | Product Activity Data | conditional |
| EDI 820 | Remittance Advice | supporting |
| EDI 864 | Text Message | supporting |
| EDI 997 | Functional Acknowledgment | required for all transmissions |
Labeling & packaging
- GS1-128 (UCC-128) case/shipping labels with an SSCC-18 that must exactly match the 856; the SSCC is reported as required on two adjacent sides of each pallet.
- Master case labels carry store/DC number, PO number, carton count, supplier and TSC item numbers, description, and inner-pack counts; inner-case labels carry the supplier item, TSC SKU, case-pack count, PO, and description.
- GS1-licensed GTINs/UPCs must match TSC’s item records; barcodes must scan cleanly. Governed by TSC’s vendor/routing guidelines.
Connection & portal
- AS2 or an approved VAN over ANSI X12 (reported as v4010/VICS); VANs/providers (SPS, Cleo, TrueCommerce) can broker connectivity.
- Tractor Supply’s vendor portal handles certification and day-to-day compliance visibility; the Manhattan Transportation Shipping Portal is used for freight routing/booking — both work alongside EDI, not as a replacement.
Onboarding & testing
Reported 4–8 weeks to production, with EDI compliance reported as required within ~60 days of onboarding. Sequence: submit via RangeMe → receive the Vendor Agreement → complete the Vendor Setup Schedule in full and return it to the buyer → set up connectivity and certify each transaction set → go live and receive the first 850.
Compliance & chargebacks
- • Vendor compliance deductions are reported for ASN and labeling non-compliance, pricing discrepancies, quantity shortages, damaged goods, incorrect PO labeling, and administrative errors (chargeback exposure reported as medium). Specific fee amounts sit behind the vendor portal — confirm them in the routing guide.
- • Delivery windows are enforced: POs specify “Do Not Deliver Before/After” (prepaid) or “Ship Not Before/No Later” (collect), and shipments outside the window are reported to face rejection with return costs charged back to the vendor.
- • Routing-guide compliance is required for DC and store delivery; failure to communicate ship-location changes is reported to trigger penalties. Deduction disputes are reported to require filing within ~6 months of payment.
Worth knowing
- • Multiple fulfillment models (DC, DTS, DSV, VPXD) mean different document and routing rules — confirm which one your buyer set up.
- • Drop-ship 846 inventory is reported to require true EDI (not CSV/XML) on a daily cadence.
- • TSC-assigned identifiers (internal vendor number, customer order number) must flow through to the ASN and shipping labels exactly as received.
How EndlessEDI helps with Tractor Supply
TSC’s deductions hit line-for-line ASN mismatches and out-of-window deliveries. EndlessEDI maps whichever fulfillment model you’re on — DC, DTS, DSV, or VPXD — builds 856s whose SSCCs match the pallet on both required sides, and holds the PO, ASN, and invoice in lockstep so a single short line doesn’t turn into a chargeback.

What EDI documents does Tractor Supply require?
Core documents are the 850 (PO), 855 (PO acknowledgment), 856 (ASN), 810 (invoice), and 997, with 860, 846, and 852 conditional. TSC is reported to run ANSI X12 (v4010/VICS conventions).
How does Tractor Supply’s ASN work?
The 856 must match the originating 850 line-for-line and carry an SSCC-18 that exactly matches the physical GS1-128 label, with carrier/tracking references (MAN, REF*CN) and a bill of lading for freight. Mismatches are reported to trigger chargebacks or payment holds — confirm current rules in TSC’s routing guide.
How long does Tractor Supply EDI onboarding take?
Reported at roughly 4–8 weeks to production, with EDI compliance reported as required within about 60 days. You certify each transaction set after completing the Vendor Setup Schedule and setting up connectivity, then go live.
EDI requirements and penalty schedules change and vary by program. Figures marked “reported” come from third-party sources, not the retailer’s published fee schedule — always confirm against the retailer’s current routing guide and your vendor agreement.
