EDI Requirements

LCBO EDI Requirements

The LCBO (Liquor Control Board of Ontario) is Ontario’s provincial beverage alcohol retailer and wholesaler. Suppliers work through LCBO Gateway, a portal for purchase orders, ASNs, invoices, payments, and chargebacks, and can exchange the same documents by EDI.

Required EDI documents

Document Name Notes
EDI 850 Purchase Order LCBO notifies the vendor of a new PO
EDI 855 PO Acknowledgment vendor confirms the PO
EDI 856 Advance Ship Notice (ASN) vendor submits the ASN
EDI 820 Payment / Remittance LCBO payment to the vendor

Labeling & packaging

  • The LCBO Gateway guide does not set carton labeling rules; labeling, delivery booking, and product requirements are covered in the LCBO’s supplier and logistics documentation — confirm with the LCBO before your first shipment.

Connection & portal

  • Documents can be handled in the LCBO Gateway portal or exchanged by EDI. Providers such as TrueCommerce broker EDI connections for LCBO suppliers.
  • Chargebacks are generated in the LCBO’s SAP system and surface in LCBO Gateway with an invoice number reference.

Onboarding & testing

Register as a supplier with the LCBO and get access to LCBO Gateway. Suppliers that trade by EDI set up and test the connection with the LCBO before live POs flow; the Gateway remains the place to view POs, payments, and chargebacks.

Compliance & chargebacks

  • • The LCBO’s guide warns that failure to comply with the Purchase Order Terms and Conditions may result in fees under its Fee Schedule for Non-Compliance.
  • • ASN timing: the guide asks vendors not to submit the ASN until the order is ready to ship or leaving the facility. Once an ASN is submitted, the PO is frozen and cannot be changed.

Worth knowing

  • • Because an ASN freezes the PO, an early ASN locks in quantities before the order is packed. Build the 856 from what was actually picked.
  • • The LCBO sends remittance as an 820, so payment reconciliation can be automated against invoices.

How EndlessEDI helps with LCBO

EndlessEDI receives LCBO 850s as orders, sends 855 acknowledgments, and generates the 856 only after the order is packed, from the shipment data itself, which avoids freezing a PO on quantities that later change.

LCBO EDI FAQ

What EDI documents does the LCBO use?

The LCBO Gateway guide lists the 850 (purchase order from the LCBO), 855 (acknowledgment from the vendor), 856 (ASN from the vendor), and 820 (payment from the LCBO).

When should I send an ASN to the LCBO?

Only when the order is ready to ship or leaving the facility. Once the ASN is submitted, the PO is frozen and no changes can be made.

Do LCBO suppliers have to use EDI?

The LCBO supports both the LCBO Gateway portal and EDI for purchase orders, acknowledgments, and ASNs. Check your supplier agreement for which method applies to your account.

EDI requirements and penalty schedules change and vary by program. Figures marked “reported” come from third-party sources, not the retailer’s published fee schedule — always confirm against the retailer’s current routing guide and your vendor agreement.
